Plenty of Pakistani businesses know they must issue a "tax invoice" but are unsure what it should actually look like — which fields, in what order, and how to show the tax. Getting the layout right matters for a concrete reason: an invoice missing required fields can cost your buyer their input tax claim and expose you at audit. This guide gives a practical field-by-field layout, explains how the tax line is presented, and shows how the format feeds FBR digital invoicing. The fields, in order

A compliant sales tax invoice is built from a defined set of fields. Laid out top to bottom, a workable structure is:

  • Header: the word "Tax Invoice", your business name, address and sales tax registration number (STRN) and NTN.
  • Invoice reference: a sequential invoice number and the date of issue.
  • Buyer block: the buyer's name, address, and — for a registered buyer — their registration number.
  • Line items: description of goods or services, quantity, unit price, and value excluding tax.
  • Tax block: the value of the supply, the sales tax rate, and the sales tax amount shown separately.
  • Total: the gross amount payable including tax.

The buyer's registration number matters more than businesses expect: for a sale to a registered person, that number is what links your output tax to their input tax claim in the return-matching system.

Showing the tax line correctly

The single most important presentation point is that sales tax is shown separately. The invoice must let anyone reading it see three distinct figures: the value of the supply, the tax rate applied, and the resulting tax amount, before the gross total. This is not cosmetic:

  • The buyer can only claim input tax if the tax is stated as a separate amount on a valid invoice.
  • Your own output tax in the return is the sum of these separately-stated amounts.
  • An "inclusive" price with no tax breakout is a common reason an input claim is disallowed and a common audit finding.

Holding input and output tax in their own ledger accounts — a point covered under the chart of accounts — means the tax figures on your invoices reconcile straight to the return.

Worked line. Supply of goods: value Rs 100,000; sales tax at the applicable rate, say 18%, Rs 18,000; total Rs 118,000. The invoice shows all three — 100,000, then 18,000 as tax, then 118,000 — rather than a single "Rs 118,000". Only the broken-out version lets the buyer reclaim the Rs 18,000 and lets your return tie the output tax to the sale.

Sequential numbering

Sales tax invoices must be numbered sequentially, without gaps or reuse. The sequence is a control: it is one of the ways suppressed sales (a missing number) or duplicated invoices (a repeated number) are detected. A business issuing from several outlets or systems needs a numbering scheme that preserves one coherent sequence — for example a location prefix with a continuous run — rather than each point of sale generating its own overlapping numbers. Reconciling the invoice sequence to the sales recorded is a basic monthly check. It is also worth deciding in advance how cancelled or voided invoices are handled — the cleanest approach is to retain the voided number in the sequence marked as cancelled, rather than deleting it and leaving an unexplained gap that looks like a suppressed sale.

Feeding FBR digital invoicing

FBR has progressively extended digital invoicing to defined categories of registered persons, requiring invoices to be issued through the integrated system in a prescribed electronic format with real-time or near-real-time reporting. The practical implication for your format is that the fields above should map cleanly to the digital system's data points, so the same information that appears on a printed invoice populates the electronic one. Designing the layout with the digital fields in mind — even before the requirement reaches your category — means you are ready to integrate rather than rebuilding your invoicing later. The inclusive formula is where errors cluster. Applying 18% to a gross figure of Rs 590,000 gives Rs 106,200 — overstating the tax by Rs 16,200 on a single invoice and understating your own revenue by the same amount. Use the fraction, not the rate, whenever the price quoted already contains tax.
