The three monthly reconciliations

Do these every month and the annual filing becomes transcription rather than reconstruction.

  1. Bank to ledger. Every account, every month. Unreconciled bank movement is where the wealth statement eventually fails, because unexplained inflows and outflows have to be plugged — and plugging is what draws attention.
  2. Sales tax turnover to accounting revenue. Monthly returns aggregate to an annual figure that will be compared against your income tax return. Reconcile as you go and record the reason for each legitimate difference — exempt supplies, timing, non-taxable receipts.
  3. Withholding deducted to certificates issued. Tax you deducted from suppliers and employees, deposited under the correct head, matched to statements filed and certificates issued. A payee who cannot evidence a credit will come back to you for it.

Separation is not optional

A single business bank account used for a family expense, or a personal card used for a supplier payment, creates three simultaneous problems: the accounts overstate or understate profit, the tax computation includes a non-deductible item, and the owner wealth statement no longer reconciles because drawings were recorded as costs.

What is the single most useful habit?
